Site Administrator

What’s the opportunity? (Role)

We’re currently expanding and looking for a self-motivated, hard-working individual to join our team as a Site Administrator. The successful candidate will support the Site Manager, Project Manager, Quality Manager and Health & Safety Manager in delivering best-in-class project administration. This role is central to ensuring efficient site operations by maintaining records, coordinating documentation, supporting BCAR compliance, and assisting in project handover preparation.

Roles & Responsibilities:

General Administration

  • Managing document control systems
  • Scheduling meetings and taking accurate minutes
  • Assisting with material requisitions and delivery dockets
  • Assisting with drawing management (both hard and digital copies via Procore)
  • Creating and printing on-site posters and signage as needed
  • Maintaining project registers and assisting with weekly/monthly reports
  • Supporting the site team in closing out inspection reports

Procore Set Up & Training

  • Assisting the project team with Procore (construction management software)
  • Updating the Project Directory in Procore (as instructed by the Project Manager)
  • Monitoring Procore document uploads, tracking changes and ensuring timely responses
  • Ensuring all users are trained and granted access to Procore as needed (in collaboration with the Quality Manager)
  • Ensuring completion and closure of relevant quality check sheets on Procore
  • Supporting the Site/Project Manager in managing RFIs and submittals through Procore by:
  • Ensuring correct naming conventions
  • Upload, track changes and close out revisions
  • Ensuring compliance with relevant procedures

BCAR/Safety File/Project Handover

  • Liaising with the Quality Manager and Site/Project Manager to gather required documentation
  • Requesting documentation from all relevant stakeholders as needed

Health & Safety Support

  • Coordinating and facilitating site inductions
  • Checking all certifications and paperwork
  • Filing and maintaining H&S records
  • Supporting toolbox talks and site walks

Other Duties

  • Additional administrative or operational support tasks as required by the Project team

Skills / Experience / Qualifications Required:

  • Minimum 2 years of experience in an administrative role (preferably in the construction industry)
  • Minimum 1 year of on-site construction experience
  • Qualification or prior experience in a construction or engineering environment is advantageous in construction management, civil engineering, or a related field, but not essential
  • Experience in Quality Management (training or certification) is a plus
  • Proficiency in Procore or other construction quality management software is highly desirable
  • Strong IT skills, particularly with Microsoft Office and document control systems
  • Excellent attention to detail and analytical skills
  • Strong communication, interpersonal, and organisational skills
  • Ability to prioritise tasks and manage time effectively

Practicalities:

  • Salary: Depending on Experience
  • Location: The successful candidate may be working on several projects at one time, therefore own transport from site to site will be required
  • Reporting To: Project Manager
